Job Description :
The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. The Office Manager reports to the Executive Director.

Role and Responsibilities:

  • Supervise the maintenance of office areas and equipment, as well as housekeeping of office facilities

  • Responsible for the facilities day to day operations (such as distributing building access keys and maintaining key log)

  • Oversee new hire orientation and distribution of Center's equipment

  • Oversee Center maintenance inspections; manage relationships with cleaning, pest control, alarm and other vendors

  • Maintain office supply inventory, order additional supplies as needed

  • Manage the maintenance of Center's vehicles including repairs, inspections, cleaning, etc.

  • Update annual emergency preparedness plan and schedule emergency drills; maintain emergency supply kit inventory

  • Participate in the planning and execution of Center staff events

  • Process donations and code and complete appropriate forms; submit to Administrative Office in accordance with Finance Policies and Procedures

  • Point person for mailing, shipping and distribution of packages and other mail

  • Participate in special projects and meetings as needed

  • Other duties as assigned

Required Qualifications :
Qualifications and Education Requirements:


  • Associates Degree

  • Minimum 3 years experience in Office Administration

  • In depth knowledge of office machines including: copier, mail machines, fax, etc.

  • Proficient in the use of Microsoft Office components with detail knowledge of Excel and Word

  • Advanced analytical and critical thinking skills; strong written oral and interpersonal communication skills with ability to work effectively with a wide range of management staff and external vendors, strong computer and internet research skills

  • Driver's License required for travel
