DESCRIPTION:


Plans and manages development of events, community interfacing events and public art, exhibit development/installation, and maintenance related items.
 

EXAMPLES OF DUTIES:


Essential Duties and Responsibilities include the following. Other duties may be assigned.

Performs a variety of tasks to include planning, developing, organizing, scheduling, promoting, implementing and evaluating cultural arts programs and activities. Works with other staff members to research, design and develop new programs and activities that will challenge and excite citizens of all ages. Conducts programs and activities in a variety of climates and facilities. Networks extensively with community groups. Prepares letters, memos, forms, surveys and reports, etc., pertinent to program and activity success and maintenance. Conducts surveys, coordinates instructors, orders supplies; develops, implements, promotes and evaluates programs and services.

Assists in overseeing the operation and maintenance of cultural arts assets in accordance with established policies and procedures. Maintains effective maintenance and storage procedures. Helps maintain inventory of supplies and equipment for the operation of cultural arts services and oversees the proper storage of same. Sets up equipment, including tables and chairs in preparation for activities and scheduled uses.

Determines how programming and activity work will be assigned, processed and reviewed to achieve a high level of performance from staff and volunteers. Assists in hiring, counseling and training. Schedules, and evaluates employees, volunteers and contract providers. Determines appropriates responses to problems and emergencies. Creates an environment conducive to high productivity, efficiency and excellent service to the community. Maintains confidential records.

Assists in collecting and accounting for all funds received and spent for assigned cultural arts programming, activities and equipment per established policy and procedure. Assists in preparing and justifying program budgets and monitors related expenditures and revenues as they pertain to Cultural Arts programs and activities. Assists in coordinating fund-raising and solicits grants as needed to support programs; works closely with management and nonprofit organizations who support City cultural arts programs and activities.

Assists in preparing and negotiating contracts, correspondence, agreements, schedules, work orders, memos, monthly reports, etc. related to assigned area. Maintains relationships with vendors/contractors. Helps maintain information related to program participation, costs, usage, etc. to properly document program activity and ensure compliance with record retention requirements. Prepares incident/accident reports, daily deposit and cash report and ensures timely delivery of same to Administration. Helps maintain accurate financial records, reports and files. Helps maintain records and prepares a variety of reports relating to Cultural Arts programs and activities. Assists in preparation of detailed program worksheets outlining desired outcomes and recommended resource allocation.

Assists the general public and City employees with questions on programs. Provides information and gives referrals on an individual basis. Handles complaints/concerns in a professional manner. Services are continuous during daytime, night time and weekends, as assigned. Position has authority to address and restrict access to assigned programs and activities as needed.

Develops, prioritizes, and implements project plans, including specialized projects, maintenance, event, emergency, and others as assigned. Sets up press event/marketing schedules, organizes materials, reviews transportation itineraries, and books programs and activities. Assists in creation of internal and external promotional pieces. Coordinates registration and payment procedures, promotional advertising and mailings, and corporate sponsorship activities. Organizes required catering services and room and communication equipment setup as needed for programs and activities. Manages on-site staffing and registration.

Assists with special events for assigned areas and for the department. May provide general custodial duties as needed throughout the day. Performs other duties as assigned.

Requires basic skill and ability to operate small equipment including hand, power and motorized equipment such as a utility cart, drills, screw drivers and various other tools including the ability to manipulate tools, instruments, devices, etc., normally requiring coordination with eyes, hands, and/or feet.

Supervisory Responsibilities:
Directly supervises 1-4 employees in the Cultural Arts Division. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Maintains confidential records.

Required Qualifications :











TYPICAL QUALIFICATIONS:


Bachelor's degree (B. A.) in Liberal Arts, Arts, Event Planning, Music or closely-related field from four-year college or university; and one to two years related experience and/or training; or equivalent combination of education and experience.

Florida CDL Class "B" Driver's License with Airbrake Certification & Passenger Endorsement preferred
Must possess and maintain a valid Florida Operators Driver's License for required travel.
Current certification in adult, child and infant CPR (or obtained within six months of hire)
Current First Aid certification (or obtained within six months of hire).

Public Art Specific:
Experience installing fine arts exhibits in gallery spaces. Knowledge of Public Art Management. Knowledge of basic museum practices. Experience communicating with diverse populations and artists.

Performing Arts Specific:

Experience implementing performing arts related event. Experience working with performers, vendors, production companies and other related elements. Experience in booking beginning performers, well-established performers, and everything in-between. Experience working with agents and talent companies. Knowledge of current event standards, rules, regulations, and permitting. Knowledge related to music, theater, puppetry, flow arts, spoken word, and other genres of performing arts preferred.

 

Assigned City Vehicle: No. A shared City vehicle is accessible during the normal working shift.

Annual Salary: $41,900.00 - $75,600.00, DOE
