JOB SUMMARY:

To ensure monthly, quarterly and annual required reporting functions for the Trucking Division. To reconcile, report discrepancies, problems, track data and provide data reports covering the various aspects of the Trucking Division. To compute, record and verify numerical data for use in maintaining Trucking related accounting records. To assist the Accounting Department in the month-end close process.

Salary: $24.00 per hour


Required Qualifications :
JOB RESPONSIBILITIES:

  • Records and balances all journal entries for the Trucking Division (allocation/re-class, accrual, reversal)

  • Reviews for accuracy and processes for payment all invoices for leased fleet 

  • Reviews for accuracy and processes for payment all Florida Tank invoices

  • Prepares, maintains and distributes monthly mileage report to include SMI and outside haulers; reconciles discrepancies

  • Maintains Fleetwise for all company vehicles both owned and leased

  • Prepares and/or approves bank transfers; generates banking reports

  • Codes/closes RO invoices in Fleetwise

  • Tracks and records all diesel fuel and DEF volumes used by the Trucking Division, including yard dogs and reefer units; reconciles all discrepancies

  • Generates, distributes and journalizes Diesel reports

  • Prepares and issues invoices for accident repairs, toll violations, tank washes, fuel usage and appropriate utilities

  • Maintains all vehicle titles and registrations for all commercial and non-commercial vehicles owned or leased

  • Issues fuel credit cards for all users (Comdata, Shell, Fleetcord).Reviews, reconciles and processes all toll and E-pass invoices for payment and/or replenishment

  • Prepares and files applicable IFTA and Heavy Vehicle Use Tax

  • Responsible for the approval or obtaining approval and coding of invoices for the Trucking Division

  • Maintain and reconcile tire and oil inventory and invoices       

  • Open and receive tire, bulk diesel and DEF purchases

  • Prepares invoices to PPD for rejected hauling charges

  • Notarizes various company documents

  • Orders and maintains inventory control over tanker seals for Trucking Division

  • Calculate, log and code outside hauler invoices

  • Compile /generate Trucking and shop P&L's

  • Other related duties as assigned


PHYSICAL REQUIREMENTS:

  • May be required to sit or stand for extended periods of time and demonstrate manual dexterity while performing job duties

  • Must be able to concentrate for extended periods of time, paying attention to detail

  • Constant operation of standard office machines, including computer

  • Requires frequent ability to move freely about the office building


ENVIRONMENT:

  • Environment involved is regularly inside the office

  • The noise level in the work environment is usually moderate
